Before even starting work, you need to set the working hours & days that are required to complete the task.

Project for the web comes with a default work template that can be automatically applied to all projects. This template is based on the average work schedule: it specifies work hours of 9AM through 5PM from Monday through Friday. If your work does not follow this schedule, you can create a new work template to suit your project’s needs.

A Work Hours Template is a template that defines working days & hours and can later be applied to a project or resource. If you need more information about how to change the calendar on your project, you can check out our blog post on changing your project’s hours here.

However, for a lot of organizations, the schedules of the workers (or resources) don’t always match the schedule of the overall project. For example, you may have an office that is open Monday – Friday, 9AM-5PM, but have part time workers that only work Monday-Wednesday, 9AM-3PM. You want to ensure that the tasks assigned to these workers are scheduled for times when your workers are available. This blog post will walk you through how to set the calendar of a resource & how resource calendars collide with project calendars in Project for the web.

Setting a Resource’s Calendar

Project for the web is built on the Microsoft Power Platform. I’m now ready to start assigning these tasks to my workers!

As you can see, these tasks have not been assigned to anyone yet.

Let’s take the Research potential locations task. This task has a 5 day duration, starting on a Monday & ending on a Friday.

I’ll assign Diego to this task.

After assigning Diego to this task, the task is rescheduled for 7 days of duration, starting on Monday & now ending the following Tuesday. Why did this happen?

Due to Diego’s calendar, he can’t work the last two days during which this task is scheduled (Thursday & Friday). This means that he will have 0 working hours for that task on those days. This ‘missed’ work forced Project to extend the task 2 more days, so Diego can do the work during his working time.

But, if Diego isn’t working on Thursday & Friday, why is that included in the duration?

Duration is the number of project working days between the start & finish dates of the task. While Diego isn’t working on those days, those are working days for the project, thus they are included in the duration calculation.

However, when I open the Task Details pane, I can see that Diego has 40 hours of effort on this task, proving that he is still doing the original expected amount of work on this task.

And there you have it! Project recalculates your tasks to ensure that your workers are only working on days that they are available to work & are included in your project’s calendar.

Do you have other questions about scheduling? This template defines your calendar as Monday-Friday, 9am-5pm. Therefore, when I create a task and set the start date, it schedules the task to start at 9am.

I have also created another template in my organization called EightToFour Template, which defines a calendar as Sunday-Thursday, 8am – 4pm. I’ve decided to change my project’s calendar to that template.

After setting the new calendar template, I’ll create a new task and set the start date of the task to 2/14. When I now hover over that task, I see that the task starts at 8am:

When setting the start date, Project looked at its calendar to confirm that the date was a valid start date in the project & fetch the day’s start time. This resulted in a task that starts at the time defined by the calendar.

Setting the duration

In the same project, I will create another task & set the duration of that task before setting any of the other date information. Note that this project is still using the EightToFour Template, meaning that the calendar days start at 8am.

When I now hover over the task, I see that it is scheduled to start at 9am:

This task has been scheduled according to the default start time of all tasks in Project.

Project has set 9am as the default start time of all tasks. This field cannot be edited by users and does not get updated when you change the calendar of a project. When you set the duration of your task, Project does not look at the calendar to confirm the start time of the task and instead just schedules the task for that default start time of 9am.

Thus, if you want to make sure your tasks are scheduled at the correct start time according to your WHT, you should always set the start date of the task, instead of scheduling a set duration for that task.

Feedback?

If you have any questions or comments, you can always leave us feedback in the comments below or by creating a post on aka.ms/projfeedback.

Please let us know what tips & tricks you would like us to discuss in our next blog post!
Tue, 29 Mar 2022 01:30:49 GMT https://gorovian.000webhostapp.com/?exam=t5/project-blog/task-start-times-amp-your-projects/ba-p/3269665 Microsoft Project Team 2022-03-29T01:30:49Z February Update Blog https://gorovian.000webhostapp.com/?exam=t5/project-blog/february-update-blog/ba-p/3242197
Feedback is important to us, and we review your comments and suggestions on the Feedback portal. Project supports summary & subtasks to help users break their work into smaller pieces, but sometimes workers need to keep track of work that doesn’t need to be tracked by their project manager. To help with this, we are introducing checklists in Project for the web, a new way to track smaller pieces of work in your projects!

Checklist items are smaller bits of work that are attached to a task but do not need to be scheduled on their own. They are related to the completion of the overarching task.

This feature is rolling out now and should be available to all users by the end of the month.

How do I add checklist items?

You can add a checklist item in Project for the web in the task details pane. The Checklist section should appear under the other fields in your task.

You can add a checklist item by clicking Add an item, typing your checklist item name, and hitting Enter.

What if I need to turn a checklist item into a task?

We realize that there are pieces of work that may start as checklist items but evolve into their own tasks over the course of your project. We have made it easy to promote a checklist item into a task.

You can do this by hovering over the checklist item you wish to promote. On hover, you will be able to see the Promote and Delete buttons. Click on the Promote button. This will automatically convert your checklist item into its own task.

Your new task will appear directly under the original task in your project grid. This checklist item will now act like any other task in your project.

How do I delete a checklist item?

You can delete a checklist item in the same way that you promote a checklist item; hover over a task and click on the Delete button. This will remove your checklist item from your task’s checklist.

How many checklist items can I have on a task?

Like in Planner, you can have up to 20 checklist items on a task.

How do my checklist items affect the rest of my task?

Your checklist items should not have an effect on any of the other information in your parent task.
Tue, 16 Nov 2021 22:04:33 GMT https://gorovian.000webhostapp.com/?exam=t5/project-blog/checklists-in-project-for-the-web/ba-p/2972594 Microsoft Project Team 2021-11-16T22:04:33Z Announcing the New Feedback Portal Experience for Microsoft Project! https://gorovian.000webhostapp.com/?exam=t5/project-blog/announcing-the-new-feedback-portal-experience-for-microsoft/ba-p/2966550
Longtime Microsoft 365 users will know that our products previously relied on UserVoice forums to allow users to provide feedback on our products. All M365 products offboarded from our UserVoice forums over the summer, leaving us without a feedback forum to allow users to vote & comment on each other’s feedback.

We are excited to introduce you to our new Feedback Portal! Like UserVoice, this experience allows you to post your own feedback & comment/upvote on feedback provided by others. Additionally, the new My Feedback section allows you to view any previously submitted feedback. Microsoft can view any feedback you submit, respond to your feedback directly, and update the status of your feedback items as they make progress on your requests.

This experience is available for most M365 apps, Teams, and Edge. Right now, this experience is only available in English, but Microsoft is working hard to add more languages and products in the future.

For more information, check out the Microsoft 365 announcement here.

Mon, 15 Nov 2021 17:37:38 GMT https://gorovian.000webhostapp.com/?exam=t5/project-blog/announcing-the-new-feedback-portal-experience-for-microsoft/ba-p/2966550 Microsoft Project Team 2021-11-15T17:37:38Z Microsoft Project Updates for Ignite 2021 https://gorovian.000webhostapp.com/?exam=t5/project-blog/microsoft-project-updates-for-ignite-2021/ba-p/2912056
In time for Ignite 2021, the Microsoft Project team wants to share the following:

The Microsoft Project & Microsoft Planner blog & video – Over the next 12 months, the experiences for Project and Planner will be brought closer together to provide you and your team a more seamless way to work.
